Session Part 1: New Patient Calls

SESSION #1: NEW PATIENT EXPERIENCE (NPE)
Phone Intake, Call Sheet, and Scheduling Consultations 

 Access On-Demand Recording, NPE Templates & Scripts

A seamless and professional patient intake process is essential for providing an exceptional experience. This session covers the best practices for handling new patient inquiries, scheduling, and lead tracking.
 

Key Components:

  • New Patient Line vs. Existing Patient Line: Dedicated phone lines for streamlined communication.

  • New Patient Call Sheet: A structured approach to gathering patient information.

  • New Patient Appointments: Options include a Cosmetic Consultation or a Comprehensive Exam, with or without a Prophylaxis.

  • New Patient Leads Management (via CMM): Utilizing Jot Form, Facebook, Instagram, and Google to track and manage leads effectively with your Marketing Team.

Session Part 2: Treatment Presentations

SESSION #2: TREATMENT PRESENTATION & ACCEPTANCE

Successful Communication for Large Cases

A well-structured treatment presentation ensures clarity and increases case acceptance. This session outlines a step-by-step approach to presenting and finalizing treatment plans.
 

Day of Comprehensive Exam:

  • Doctor-Approved Treatment Plan: Signed off by the doctor before presentation.

  • Treatment Plan Presentation Letter: Breakdown of the total case fee and individual line items rather than a list of dental codes with associated fees.

  • Cosmetic Case Timeline & Breakdown: A structured outline of treatment phases.

  • NP Photos: Show the patient their "before" photos and explain WHY the treatment is needed. 
     

Day of Records / Case Acceptance:

  • 1-Hour Appt.

  • Final Case Presentation

  • Model Release Authorization

  • Informed Consent Documentation
     

Pre-Operative Appointment:

  • 15-Minute Appt:

  • Prescription & Prescription Drug Consent

  • Pre-Appointment Reminders

  • Assistant Responsibilities: Provide Perioscience Gel/Peroxide as necessary.
     

Prep Appointment:

  • 4-6 Hour Appt.

  • Post-Operative Instructions for Cosmetic Cases
     

Provisional Approval Appointment:

SESSION #3: CASE TRACKING

Scheduling, Payments, and Pre-Blocking

Proper scheduling and financial management are critical to the success of treatment execution. This session outlines procedures to ensure efficiency and organization.

Financial Policy:

  • Payment Requirements: Full payment is due prior to scheduling any appointments, or at the latest, by the Records Appointment. Time management is crucial, and a structured payment policy ensures a smooth process for all patients.
     

Scheduling Strategy "Let’s Play Tetris!"

  • Lab Coordination Prior to Records Day: Determine which lab the doctor prefers to use.

  • Lab Tracker Utilization: Ensure smooth communication with the lab. 

    • Coordinate Records/Wax-Up Return Dates

    • Manage Provisional Approval Timeline and Final Delivery

  • Appointment Scheduling:

    • All appointments should be scheduled around lab return dates and doctor availability.

    • Once approved lab return dates are proposed, place "holds" on the schedule and email the patient with proposed appointment dates (without revealing lab return dates).

    • Upon patient approval, convert "holds" into confirmed appointments. It is imperative to block out these dates in advance to stay on schedule. 
       

Tracking Systems:

  • Patient Folders: Maintain organized records and paperwork for each case.

  • Cosmetic Case Spreadsheet: Track case progress and essential details.

  • Pre-Blocks on Schedule: Allocate specific time slots for key procedures to ensure efficient scheduling. Have your scheduler pre-block times for your procedures 3-6 months in advance.
